What happens to your enquiry after 9pm?

Most firms answer their enquiries the next working morning. Here is what that delay costs, and how an AI assistant can change it.

Someone finds your firm at 9pm. They read two pages, decide you look credible, and fill in the contact form. Then they go back to Google and repeat with two more forms at two other firms, because nobody sends one enquiry and waits.

Whoever replies first gets the conversation. The other two get to compete on price later, if they get a reply at all.

That's the whole game, and it's why response time beats almost every other fix a small firm can make to its website.

Why the next morning is already too late

Most small firms in Hong Kong handle enquiries the same way. The form emails an inbox or Whatsapp. Somebody opens that inbox when they get in, works through it between client calls, and replies when there's a gap.

14 hoursbetween a 9pm enquiry and a "next morning" reply

So a 9pm enquiry gets answered around 11am. Within this time, your potential customer already had a reply from somewhere else, booked a call, and stopped thinking about you.

What's frustrating? The website did its job. The lead was real, interested and ready. It just went cold before you got to it.

What actually has to happen in those 14 hours

The enquiry needs 3 things, and all 3 are mechanical:

  • A reply that sounds like you (everyone recognises the "we have received your enquiry" autoresponder, and everyone ignores it)
  • The 2 or 3 questions you always end up asking anyway, so the first real conversation starts from something useful
  • A way to book time, right there, while they're still holding their phone

None of that requires judgement about the situation. It's the same opening move every time, which is why it can run without you.

How can an AI assistant help you

Email WhatsApp WeChat Web form Escalated Urgent or sensitive Reply drafted Waits for your click Junk, filed Kept off your desk The assistant Reading Triaging Routing Drafting

That's where the AI assistant comes in. It reads the enquiry, replies in your firm's voice within a minute, asks the qualifying questions you'd ask, and offers your calendar. If the person replies, it keeps the thread going. When it identifies something that needs you, it stops and hands over with the context already gathered. 24/7.

You wake up to a conversation in progress or a booked call, instead of a form submission that's now 14 hours cold.

The consultation is yours. That's the valuable thing you provide and what the client is paying for. The AI assistant covers the gap between "they submitted a form" and "you're in a room with them", which is what is currently being lost to whoever answered faster.

What do you actually get from an AI assistant?

01

You keep leads you already paid for

That 9pm enquiry came from money and effort you've already spent, on the site, on the ads, on the referral. Answering it faster costs you nothing extra and converts more of what's already coming in.

02

Your first call starts warmer

Your basic questions are answered before you dial, so you start the call prepared instead of opening on "tell me a bit about your case".

03

You stop carrying the inbox around

No checking your phone at 10pm in case something came in, no Monday morning scroll to find the one that slipped through the weekend.
